There may be record types for which you wish to immediately start a workflow upon entering that new record. For example, perhaps when entering a new Opportunity or Tender, you will always immediately thereafter launch the Opportunity / Tender Management workflow. Using this setting, the system will allow you to automatically start a workflow upon record creation. See Auto-Start workflows in Action here!
Setting up the Auto-Start Workflow
Go to the Studio and then choose the Record Builder Tile.
Select the Record Template on which you’d like to create or edit a Workflow.
Near the bottom of the Record Studio, you will see the Workflow section. Click on the appropriate workflow.
In the gear setting, found in the upper right hand side of the screen, click Edit.
You will be presented with toggle three options: (1) Enable Autostart, (2) Show Launch Workflow Button in Sidebar and (3) Enable Workflow Planning.
You can choose several combination of the toggle options, save pairing the first and second. Below is a description of the results that each option will produce.
Enable Autostart option will result in the workflow being launched immediately upon record creation. The slide out will also display listing of all launched workflows; clicking on the workflow name will link users directly into the workflow and allow them to begin completing tasks.
Show Launch Workflow Button in Sidebar
The “Show Launch Workflow Button in Sidebar” alone will not automatically launch a workflow. It will display a button in the sub-menu bar that will allow users to easily launch a workflow with a single click once on the record. This option does not need to be on if the workflow is set to auto-launch.
Enable Workflow Planning
The final option allows you to enable workflow planning. If turned on, you will be given the choice to start the planning as of TODAY or as of a USER-DEFINED DATE, and plan all dates from that date as set up via the workflow planning configuration. If you choose both the Auto-Start option AND The Enable Workflow planning option, the system will default to start the workflow as of TODAY.
