Stage 1: Qualify
The purpose of this stage is to input initial bid information and make a qualification decision.
Task: Bid Intake – Assigned to the Owner
Bid Owner enters information such as Bid team, Bid documents, freight information, etc
Task: Validate Credit Check – Assigned to Lead Pricing Manager
This task contains information that is pulled from the Account record that is associated with the Bid. All fields on this task are read-only, so none of the fields can be edited. This task is meant to be a review of credit details, so the task can be completed without editing any fields.
Task: Conduct Bid Strategy Meeting – Assigned to Owner
The purpose of this task is to assemble a bid strategy and summarize account goals. This task also gives the Bid Owner an opportunity to analyze competitors.
Task: Qualify: Go/No-Go – Assigned the Lead Bid Manager
This task contains an ‘Approval’ where a Head Bid Manager or VP of the Bid Desk can give approval to move forward with the Bid.
Stage 2: Analyze
The purpose of this stage is to analyze the finances and profitability of the Bid. It also gives the Pricing Manager an opportunity to reflect on past Bids with that Account.
Task: Assess Financial Plan – Assigned to Lead Pricing Manager
The Pricing lead is supposed to decide what portion of the Bid to strategically target. The Pricing Manager is encouraged to use To Do’s to incorporate other Pricing Managers in part of the financial assessment process. No fields are required on this task, so it can be completed without any editing.
Task: Collate Historical Performance – Assigned to Lead Pricing Manager
This task has a field that lets the Pricing Manager select a Previous Bid to link to the current Bid. Once the user links a previous Bid, then that Previous Bid information will appear on the task. The only field that can be edited is the ‘Previous Bid’ field. It is meant for review, so if it’s not necessary, then the task can be completed with editing it.
Stage 3: Source & Submit
The purpose of this stage is to compile pricing and submit the Bid to the Customer.
Task: Identify & Source Carriers – Lead Carrier Relationship Manager
Input sourced carriers into Carrier table.
Task: Analyze Carrier Proposals – Lead Pricing Manager
Upload any received Carrier proposal into the uploader field on this task.
Task: Compile Pricing – Assigned to Lead Pricing Manager
In the task, the Pricing Manager will work on pricing the Bid. Once the Pricing manager has priced the bid, then he/she will upload the file to ‘Proposed Pricing Documents,’ a file uploader field. Each Pricing manager should upload the pricing documents for the Modes involved (e.g. LTL, TL) to this file uploader field.
Task: Submit Bid to Customer – Assigned to Owner
The Bid Manager can view all pricing documents uploaded to the field ‘Proposed Pricing Documents’ on this task. Once the Bid Manager has reviewed the pricing and is ready to submit the pricing to the customer, then the Bid Manager will upload the final pricing proposal to ‘Submitted Bid Documents.’
Stage 4: Negotiate
The purpose of this stage is to negotiate multiple rounds of pricing.
Task: Analyze Customer Feedback – Assigned to Lead Bid Manager
This task allows the Bid Manager to analyze the feedback and create a strategy for the next round of pricing.
Task: Negotiate Bid – Assigned to Lead Bid Manager
The purpose of this task is to handle multiple rounds of pricing. The Bid Manager should create To Do’s for the Pricing managers to update pricing.
Task: Notify Carriers – Assigned to Lead Carrier Relationship Manager
In this task, the Lead Carrier Manager should notify carriers of additional rounds of pricing. The Carrier Manager should also solicit updated proposals from the Carriers and upload them to this task.
Task: Submit Final Bid – Assigned to Owner
The Bid Manager should upload the final Submitted Pricing documents to this task.
Stage 5: Review
The purpose of this stage is to review the Customer Award and complete a Post Bid evaluation.
Task: Review & Share Award – Assigned to Lead Bid Manager
The Bid Manager should input Bid outcome and award details in this task.
Task: Post Bid Evaluation – Assigned to Lead Bid Manager
This task allows the Bid Manager to reflect on lessons learned and why business was won/lost.
Task: Send Bid Details to Carriers – Lead Carrier Relationship Manager
This task is meant for the Lead Carrier Manager to notify carriers of awarded business.
Task: Sign and Upload Executed Documents – Assigned to Legal Contact
The Legal Contact can upload the final legal contract to this task and input Contract Start and End Dates.
